Top Reasons Why SONCAP Applications Get Rejected (and How to Fix Them)

Avoid These Common SONCAP Application Mistakes – Tips for a Smooth Approval!

The SONCAP (Standards Organisation of Nigeria Conformity Assessment Program) is an essential requirement for importing regulated products into Nigeria. However, many applications get rejected due to avoidable mistakes. Cotecna is appointed by Son to issue Product and SONCAP Certificates. If your SONCAP application has been rejected or you want to ensure a smooth approval process, this article will help you understand common mistakes and how to fix them.

1. Incomplete or Incorrect Documentation

One of the most common reasons for rejection is missing or incorrect documents. To apply for a SONCAP certificate you need specific paperwork, such as the Cotecna Request for Certification form(RFC), Product Certificate (PC), Test Reports, and invoices. If any of these are missing, outdated, or contain errors, your application may be rejected.

How to Fix It:

  • Double-check that all required documents are complete and valid.
  • Ensure all details match, such as product descriptions and test report information.
  • Work with an accredited certification body like Cotecna to ensure compliance.

2. Invalid or Expired Test Reports

SON requires valid test reports from accredited laboratories. If your test report is outdated, from a non-approved lab, or does not cover required parameters, your application will not be accepted.

How to Fix It:

  1. Always use test reports from ISO/IEC 17025-accredited labs.
  2. Ensure the reports are current and relevant to the product being certified.
  3. Verify that the reports cover all required testing parameters.

3. Mismatch Between Product and Test Reports

If the product description on your application does not match what is stated in the test reports or other documents, SON may reject your application.

How to Fix It:

  • Ensure the product name, model number, and specifications are consistent across all documents.
  • Review all paperwork carefully before submission.
  • Ask your supplier or manufacturer for updated documents if needed.

4. Incorrect HS Codes

Harmonized System (HS) codes  classify imported goods. Using the wrong HS code can lead to rejection or delays in processing your application.

How to Fix It:

  • Confirm the correct HS code for your product with SON or a customs expert.
  • Use official tariff books or online databases to verify classification.
  • If unsure, seek guidance from a professional.

5. Failure to Use an Approved Certification Body

Only SON-approved certification bodies like Cotecna can issue Product Certificates (PC) and SONCAP Certificates (SC). If you use an unauthorized agency, your application will be rejected.

How to Fix It:

  • Always use a certification body that is officially recognized by SON like Cotecna.
  • Verify their approval status before proceeding with the application.
  • Check SON’s website for the list of approved certification bodies.

6. Incorrect or Missing Product Marking and Labeling

SON requires specific labeling and marking on products, such as manufacturer details, expiry dates, and country of origin. If these are missing or incorrect, your application may be denied.

How to Fix It:

  • Ensure your product packaging includes all required labels and markings.
  • Follow SON’s guidelines on proper labeling.
  • Request updated labels from your supplier if needed.

7. Lack of Proper Quality Assurance Measures

If SON suspects that your product does not meet quality and safety standards, they may reject your application.

How to Fix It:

  • Ensure your products comply with Nigerian Industrial Standards (NIS).
  • Work with a supplier or manufacturer that follows good manufacturing practices.
  • Conduct internal quality checks before submitting your application.
